We are looking to fill the Executive Administrator and Operations Manager position. The ideal candidate will work directly with Principals, Project Managers, and all levels of staff.

Operations Job Functions

  • Purchases office equipment, furniture, and supplies
  • Coordinates office space and location decisions
  • Handles maintenance and repair of office equipment
  • Liaison with Building Manager and oversee office related services
  • Manages company professional licenses and memberships
  • Coordinates company events
  • Coordinates with IT operations and licenses
  • Manages Receptionist and provides backup support

Human Resources Job Functions

  • Processes key card access and activation
  • Coordinates general training, seminars, workshops for employees
  • Support HR functions as needed

Contracts/Proposals Job Functions

  • Format, edit and prepare for signature proposals requested by Architects for new projects
  • Liaison with Architects, Clients, and Attorneys to edit, update and finalize Owner/Architect contracts.  This entails recording comments/changes from all parties until final edits are agreed to by all parties
  • Process requests for certificates of insurance from Insurance Providers as needed
  • Prepare necessary paperwork, as requested by attorney, for any legal issues arising on projects

Executive Support Job Functions

  • Support President and Executive Vice President with Executive needs such as travel arrangements; scheduling meetings and updates; etc.


  • 5 – 7 years related experience and/or equivalent combination of education and experience
  • Knowledge of MS Office (Word, Excel, Outlook, PowerPoint)
  • Excellent communication skills
  • Excellent organization skills
